Main Office Administrative Assistant

PVPA has an opportunity for a dynamic Main Office Administrative Assistant beginning immediately. We are looking for an organized, high energy individual who enjoys collaborating with colleagues in a fast-paced environment, and working with students in grades 7-12.


Responsibilities:
1. Greet school visitors, provide information, and answer questions in a friendly and welcoming manner
2. Work with faculty, staff, students, parents, board members, and community members to facilitate clear and timely communication
3. Perform general office duties
4. Maintain main office records, sorting and filing in accordance with the school’s policies
5. Respond to a wide variety of calls, concerns, and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel
6. Triage student mental health needs as they arise, and communicate information from students/families to appropriate support/administrative staff
7. Open main office and first floor spaces daily
8. Manage and update morning announcements in PowerSchool
9. Manage and direct special events including: school wide picture day, school dances (grades 7-8 & grades 9-10), parent/teacher conferences (fall and spring), and student-led conferences (June)
10. Manage field trip/off-site activities processes and procedures from approval to day-of-trip; liaison between faculty and the Director of Arts and Academics
11. Process requests for general supply orders
12. Coordinate/distribute hall passes and bus passes
13. Oversee book barcoding and curricular collections
14. Manage student off-campus permission
15. Perform other duties as assigned
16. During COVID – support for remote in-person program


Requirements:
1. Associates degree or higher
2. Demonstrated proficiency with technology, including pertinent software applications and familiarity with office equipment
3. Successful prior work experience in a busy, fast-paced environment - preferably in a school setting
4. Exceptional interpersonal and organizational skills
5. Demonstrated ability to multitask and meet deadlines
6. Ability to maintain a positive, respectful attitude in all dealings with the public
7. Ensures confidentiality and compliance with laws governing confidentiality
8. Enjoys teenagers
9. Willingness to learn skills and adapt to workplace changes


Supervised by: Chief Financial Officer
Calendar: 12 months
Hours: 7:30 am - 3:30 pm (M-F)
Salary Range: $38,000 - $41,000
